Attendance Matters

SARB, Attendance Stats and Differentiated Assistance

In the last newsletter I talked with you about the importance of attendance. I want you to know that we care about our students and have their best interests at heart, but I also know that they need to be in school in order to gain the life skills necessary for future success. We are hopeful that you will partner with us and ensure their attendance is regular.

All California School Districts are held accountable for enforcing attendance requirements and when a school district falls short, they are identified as in need of Differentiated Assistance (DA).  The pandemic certainly altered attendance patterns in our county and as a result, many schools are similarly cited. What’s new is that we are now in DA and are required to take steps to improve the attendance of our students. 

You need to know that In our county, there are legal consequences for families that are not ensuring that their children are in school.  The consequences involve SARB or the Student Attendance Review Board.  The following steps are what is legally required of us to follow.  Let me explain how this works with a real example. We actually “sarbed”  one family last month and I think it is important for you to know what that means as these consequences will be felt by our biggest offenders. 

Attendance

The SARB Process:

  • Step One: After your student has missed three days or 10% of the days enrolled in school, you will receive Letter One from your school site notifying your child is at risk for Truancy.

  • Step Two: After continued truancy which demonstrates a pattern of chronic absenteeism,  you and your child will receive Letter Two and will be required to meet with the principal and sign an attendance contract.

  • Step Three: If the absences continue, you will receive Letter Three and a referral to SARB (Student Attendance Review Board). Your SARB hearing will take place at the county sheriff’s office with district representatives from every district in the county.

  • Step Four: At that hearing, the parent and student will have an opportunity to explain their reasons for chronic absenteeism. The Board will refer to outside agencies as appropriate (counseling, probation, cps, substance abuse, etc.) and make a plan for the student to successfully attend school. A contract will be signed by the family that will be valid for one calendar year. 

  • Step Five: If the contract is violated, the case will go to the District Attorney who will issue a warrant for the parent’s arrest, will issue fines, etc. 

We have relevant Board Policies 5113.1 Chronic Absence and Truancy and  5113.12 District School Attendance Review Board on this matter, as well.

Complaint or Concern? Follow These Steps....

It is important to me that if you have a concern or complaint, that we work with you to address it and seek resolution. Though I try to answer emails and phone calls whenever possible, it’s often not the best first step for parents to take.  My first question to a parent might be, “Have you talked with the classroom teacher?” or “Have you talked with the building principal?”  They are closer to the problem or situation and I would need to contact them first anyway. 

We have put together some helpful contact information and a detailed flowchart to guide you through the process. This should help you know the steps to follow when trying to resolve a situation or get a question answered. I hope you find this information helpful.

The 2023 Rock & Run was a huge success! Held on October 15, 2023, the Rock & Run is a benefit event for Aromas and San Juan Schools. The event participants enter either a 10K run or 5K walk/run that takes place in the 123 year old, environmentally responsible, operational hard rock quarry. As participants take part in the 10K/5K challenge, they are able to experience the natural surroundings, see the ancient granite deposit and observe the massive equipment that processes the rock.

This year, the run raised $40,000.00 for our schools!. The funds will be used at each site towards supporting our students' physical education program as well as the middle school athletics programs. This includes support for equipment, uniforms, coaching stipends, referee fees and tournament participation fees.

ASJUSD is grateful for the support from this community business partner.

Graniterock

Learning Spaces Update

Excitement is building as we approach the holiday break. Starting on December 16, the first day teachers are gone, 9 teachers will have their classrooms totally emptied, repainted, refloored, carpeted, and repopulated with a variety of new furniture these pilot teachers have selected to support their teaching and learning activities.  

We worked with David Jakes, our consultant from last year, to understand better what might be necessary for a 21st century classroom. We needed this information to inform our renovation over time of our classrooms. Rather than buy just 500 desks of the same old style, we decided to run a pilot to see what teachers and students felt were the best options from furniture designers everywhere.

At the District Office:

The Studio - Mrs. Dhaliwal, Director of Curriculum/Instruction, will be using this  space to provide professional development for all. This also gives teachers not involved in the pilot, an opportunity to experience a renovated space.

HVAC Update

We are on schedule to complete the air conditioning at Aromas and Anzar.  We have received the necessary DSA approvals and are ordering equipment as plans have been drawn up.  We should be ready for the heat waves in the fall of 2024!

San Juan Construction Project Update

While we don’t still have final DSA (Division of State Architect) approvals, we are anticipating that we will be able to start construction in the summer of 2024. Building the new campus will take about two years, so we are hoping that it is completed by the fall of 2026. 

We have moved forward with many compliance tasks regarding the site preparation work that will be necessary as well as engaged stakeholder groups in design features of the various campus buildings and facade.  We have a Lease Lease Back Firm who will build our campus (Flint Builders) and are currently seeking bids for modular construction.  Full steam ahead once we get the final word from DSA!

San Juan Padres

SuperSTAT (Superintendent Student Advisory Team)

I had my first meeting in mid November with 10 Anzar high school students who have volunteered to meet with me as part of a new student advisory team.  So often we adults make decisions that impact students without checking in with them on their ideas. I met next with approximately 10, eighth grade students from both San Juan and Aromas School in mid December. I will be bringing them all together Feb 1 to more formally engage them in identifying needs and possible ideas for solutions. This will be an advisory group, not a decision making group, but one of extreme importance.  We have one-time funds that we would love input on from students and a host of other topics that listening to student voices will be helpful for us to arrive at the best decisions! 

Progress on Goals

The Board approved six strategic goals at the end of last summer. My team has been hard at work on making progress in these areas.  Our overarching goal is to reclaim our status as a Destination District. To do that, this year, our focus has been in the following areas: 

  • Build a Professional Development Program to Ensure High Quality Teaching and Professionalism

  • Develop Social Emotional Learning and Mental Health Resources and Supports

  • Develop High Quality Program Supports for Curriculum Implementation and Enrichment Opportunities

  • Build a Data Rich Culture Based on Universal Screeners and a Student Intervention Dashboard to Support our Student Population, especially our Unduplicate Students.

  • Build out Transportation Solutions for Students to Access Educational and Enrichment Opportunities

  • Design Learning Spaces, Furniture and Environments that Support Future-Focused Classrooms

In addition, I have been examining opportunities to reduce inequities between our sites, to develop strategies to more fully engage all stakeholders, and to identify multiple measures to gauge our progress and to identify Signature Programs for each site. 

ASJ+

Last summer we initiated our ASJ+ in partnership with Youth Alliance to offer six weeks of enrichment and support for our students.  That will continue next summer.

New this year is expanding Youth Alliance to serve students at both Aromas and San Juan School and to include a host of enrichment opportunities in the arts and field trips to sites such as Horseplay Youth. Students now take part in this afterschool opportunity until about 5:45pm at each site.

Textbook Adoptions

We are piloting two programs for advanced placement statistics at Anzar with a decision in Early February. The History-Social Science committee met and made initial choices to move forward four programs to continue reviewing as we decide which to pilot with students in the classroom.

English Learner Advisory Committee - Join Us

We have had two site based English Learner Advisory Committee meetings at all three sites and two at the district level with full representation. All parents are welcome to attend the meetings.  We will be doing targeted outreach.

HAWK ACADEMY at Anzar High School

About 40 high school students are completing their first college credit course on site at Anzar. Gavilan College has partnered with us and provided an instructor this semester, who taught Intro to Psychology, a general education requirement that will transfer to most colleges. Next semester the students will be taking Personal Finance.

This was important for us to provide the opportunities on the campus for students to accumulate about 12 credit hours for free during their high school career, which not only starts to prepare them for what college expectations will be, but gives them a jumpstart on the road to acquiring their college degree.
